Privacy notice
Last updated 1 November 2026
The short version: your calls, transcripts and voice profiles stay on your Mac. We never receive them. We only hold what's needed to sell you a license and to answer you.
Who we are
FOP Diachenko Illia (Illia Diachenko, an individual entrepreneur (FOP) registered in Ukraine), 45Zh Stryiska St, Lviv 79031, Ukraine, is the controller of the personal data described here. When you buy or use Oh My Clerk, you contract with us. Privacy questions: mail@diachen.com.
What stays on your Mac
Recordings, transcripts, the names you give speakers and voice profiles are stored only on your Mac, and transcription runs there. We have no access to them, so we aren't their controller. You decide what to keep, and you can delete recordings and voice profiles in the app, or remove everything.
When the app transcribes a call, it makes a numeric description of each voice on the other side and keeps it in the transcript file on your Mac, even if you never name that voice. This is how it tells speakers apart and suggests names in later calls, and you can't turn it off. A voice profile is made of these descriptions. Forgetting a person in the app removes the descriptions saved to them; for an unnamed voice, delete the recording. These descriptions can count as biometric data in some places. If you record or profile other people, you are responsible for doing so lawfully.
What we process
| Data | Why | Legal basis | How long |
|---|---|---|---|
| Email, purchase ID, license details (edition, dates, license key) | Issuing, sending and re-sending your license key; stopping refunded keys | Contract; legal obligation | For the life of the license, plus what the law requires |
| Emails you send us, and any report you attach | Support and answering you | Legitimate interest; contract | Until the matter is closed, at most 3 years |
| IP address, browser and request details on our website, downloads and license server, including update checks | Delivering the site and updates; security | Legitimate interest | Short-lived logs kept by our hosting provider |
| Website visits: page visited, referring site, browser and device type, country, page load times | Seeing how many people visit the site and which pages they read | Legitimate interest | As set by Cloudflare; we only see totals, not individual visitors |
Problem reports are never sent automatically. You choose whether to email one, and you can look inside first. They hold app logs and crash details without call content, but can include device names and file paths.
What the app sends
The app connects to the internet only to check for updates and download them, to fetch the list of revoked licenses with that check, and to download a speech model when you ask for it. These requests carry no information about your calls or your license. There's no analytics or tracking in the app.
Who receives data
We share personal data with service providers who help us run the service, with Paddle as our Merchant of Record for order processing, with our professional advisers where needed, and with authorities when the law requires it. We don't sell personal data.
- Paddle: checkout, payment, tax and invoices. Paddle is an independent controller of your order and payment data; see the Paddle privacy notice. We never see your card details.
- Cloudflare: website, website analytics, downloads, license server and its database.
- Resend: sending license emails.
- Apple (iCloud Mail): our support mailbox.
- Hugging Face: hosts the speech model the app downloads when you ask for it.
International transfers
These providers may process data outside your country, including in the United States. Where the law requires it, transfers rely on safeguards such as Standard Contractual Clauses.
Your rights
Depending on where you live, you can ask to access, correct, delete, restrict or port your data, object to processing, and withdraw consent. You can also complain to your data protection authority; in Ukraine, that is the Ukrainian Parliament Commissioner for Human Rights. Write to mail@diachen.com, and we'll answer within one month. We may keep what the law requires us to keep, such as purchase records.
Security
We protect the data we hold with access controls, two-factor authentication and encrypted connections. No system is perfectly secure, and we'll tell you and the authorities about a breach where the law requires it.
Cookies and analytics
Our website sets no cookies of its own. To count visits it uses Cloudflare Web Analytics, a small script that stores nothing on your device and, according to Cloudflare, doesn't fingerprint you. Paddle's checkout may use cookies needed to complete a purchase.
Children
The app isn't meant for children under 16, and we don't knowingly collect their data.
Changes
We'll update this notice when our practices change. The date at the top shows the latest version.
